The Society of Vintage Characters is run by a Board of Directors that is set up as follows:
Executive Committee
- The Executive has four positions as outlined below and any two are required to sign cheques.
- Executive Members are required to familiarize themselves with Vintage Characters’s bylaws and policies.
- Executive positions should be held by individuals who are retired or semi-retired, due to meetings being held predominantly during the day. Meetings are held as required and kept to a minimum.
- Executive positions are unpaid.
- Executive members are responsible for taking all of the AGLC GAIN online courses (with the exception of the bingo specific course).
Roles & Descriptions
President
The President will preside over all meetings of the Society. In the absence of the President the Vice President will chair. The President is automatically a member of all committees. The President is responsible for communicating all business related to the Society, with the exception of event information. The President will be in charge of receiving, approving and ensuring that annual payments such as website annual fees, etc, are valid and processed. All inquiries and troubleshooting should be directed to the President.
Vice President
The Vice President shall attend Society meetings. The Vice President must take over the responsibilities of the President whenever this becomes necessary.
Secretary
The Secretary shall attend Society meetings and keep accurate minutes of the proceedings. The Secretary will distribute the meeting minutes and policies in a timely manner. The meeting records and policy files are the responsibility of the Secretary. The Secretary works closely with the Events Director.
Treasurer
The Treasurer conducts all financial transactions of the Society. The Treasurer will present accurate and updated balances of the Society’s accounts at meetings. The positions of Secretary and Treasurer may be done by one person. The treasurer is responsible for ensuring that the annual audit is conducted professionally or by an audit committee, consisting of 2 society members. This position is responsible for filing all documents related to the annual AGLC audit and the Provincial Government regulations concerning non-profit societies. A criminal record check may be required.
Members of the Board
- Members of the Board are responsible for taking the AGLC GAIN courses relevant to their particular position.
- Members of the Board are required to familiarize themselves with Vintage Characters’s bylaws and policies.
New 2025 Position - Director at Large
Director at Large - In response to our
growing membership and increasing workload, the Board is creating an additional
Director’s position. The Director at Large will attend all Board meetings.
Meetings are held every 6-8 weeks. Duties will include working with the Board,
as required, and assisting the Event Director in the complex work of managing
events.
Event Director
Duties include initiating and organizing events and preparing and filing necessary documentation per AGLC requirements. This position works closely with the Membership Director and the people responsible for posting event information on the Website and Facebook page. The Event Director will determine an event host when necessary. Suggestions made by members can be received by the person in this position.
Membership Director
Coordinates and manages membership lists and communicates as necessary with the members. The Membership Director receives notifications of membership payments and communicates that information to the appropriate Board Members.
Casino Director
Duties cover all aspects of casino applications and forms, the casino volunteer schedule and the selection of casino advisors. The Casino Director works closely with the Membership Director.
